Designation: Executive Assistant to CEO
Location: Colombo
Key Responsibilities
- Oversea the day-to-day activities of the CEO’s office.
- Collaborate with multiple team members, leaders, and stakeholders, assisting and following up with non-specialized tasks and participating wherever necessary to ensure smooth, efficient operations.
- Responsible for following up on tasks delegated by the CEO to other stakeholders, until completion.
- Multitask across multiple projects, trainings to ensure success.
- Maintain healthy relations with all relevant personnel.
- Assist in the management and organization of the CEOs calendar by scheduling appointments, meetings, engagements, and daily activities.
- Assist the CEO in the timely management of communications; including written, telephone and emails, and other similar communications and ensure follow up with those that require answers, responses, and written replies.
Key Requirements
- Bachelor’s degree or professional qualification in relevant field.
- 1-2 year’s work experience in similar capacity.
- Previous experience working as an operations or project assistant/ coordinator in an INGO/ NGO is highly advantageous.
- Excellent English writing and speaking skills is essential.
- Continuously following up and getting things done.
- Excellent interpersonal, customer service and time management skills, together with diplomacy, tact and well-developed organizational skills.
- Highly methodical.
- Extremely detail oriented to ensure accuracy and quality across all tasks.
- Must be flexible and willing to work extra time during busy times and on call during weekends and after business hours.
- Ability to receive complex administrative problems independently and perform tasks that are diverse and advanced.
- Demonstrate highest level of ethics and ability to always maintain confidentiality with all situations and documentation.
- Motivated and flexible with exceptional multi-tasking ability as the demands on the role will vary from time to time.
- Must be IT literate with experience of Microsoft Office including Outlook, word, Excel and PowerPoint.
- Be able to draft correspondence both standard and ad-hoc with minimal supervision ensuring both quality and accuracy in all-work.
- Has a flair for building relationships with peoples and need to be flexible in the approach to work, and be able to work autonomously and as part of a wider team.
