Description

This role will oversee projects focused on sustainable hospitality, commercial real estate and strategic realignment of businesses that require project coordination and execution. You will be responsible for ensuring the smooth execution of the project working with vendors, partners and stakeholders with a lot of creative and management discretion. This role has flexibility in working hours and will be mostly remote. You are however welcome to work on-site at your discretion. You will be working closely with the CEO and other key stakeholders. The role will require you to occasionally travel to on-site locations within Sri Lanka and rarely outside Sri Lanka.

Responsibilities

  • Coordinate project management activities, resources, equipment and information
  • Break projects into doable actions and set timeframes
  • Liaise with vendors and stakeholders to identify and define requirements, scope and objectives
  • Assign tasks to internal teams and vendors and assist with schedule management
  • Make sure that the stakeholder needs are met as projects evolve
  • Help prepare budgets
  • Analyze risks and opportunities
  • Oversee project procurement management
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Work with the CEO to eliminate blockers
  • Use tools to monitor working hours, plans and expenditures
  • Issue all appropriate legal paperwork (e.g. contracts and purchase orders)
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through field inspections, testing and other quality assurance workstreams

Requirements and skills

  • Proven work experience as a Project Coordinator or similar role
  • Experience in project management, from conception to delivery
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Experience managing a budget and execution plan
  • Strong working knowledge of Google Docs, Google Sheets, Microsoft Excel and communications tools like Slack/Microsoft Teams
  • Hands-on experience with project management tools (e.g. Basecamp or Trello) will be a plus
  • Industry experience with construction, engineering, hospitality or logistics will be a strong advantage
