Executive Personal Assistant to the CEO

Metana is a pioneering ed-tech company. We are seeking a highly organized and proactive Executive Personal Assistant to support our CEO in managing tasks, maintaining calendars, and ensuring smooth operations across various departments.

Key Responsibilities:

  • Task Management: Efficiently manage and prioritize the CEO's tasks.
  • Calendar Management: Maintain and update the CEO's calendar, schedule appointments, and coordinate meetings.
  • Reporting: Create, prepare, and present reports as needed.
  • Reminders: Remind the CEO of tasks, meetings, and team check-ups.
  • Departmental Updates: Keep the CEO updated on the work progress of each department.
  • Task Tracking: Keep track of delegated tasks and remind the CEO to follow up.
  • Event Tracking: Keep track of team birthdays, promotions, and other significant events.
  • Payroll and Accounts: Assist in maintaining payroll and accounts.
  • Administrative Tasks: Handle various administrative duties.
  • Email Management: Respond to emails on behalf of the CEO.
  • Partnership Management: Maintain existing partnerships and help build new ones.
  • LinkedIn Management: Maintain and manage LinkedIn conversations.
  • Coordination: Assist in coordinating matters with internal and external stakeholders.
  • Document Preparation: Prepare presentations, reports, and documents ensuring accuracy and professionalism.
  • FCA Account Management: Manage FCA accounts, staying updated on deadlines and regulatory requirements.
  • Back Office Monitoring: Monitor back office work to ensure targets are met, reporting discrepancies or delays.

Experience and Qualifications:

  • Proven experience as a Personal Assistant, preferably to top-level management.
  • Knowledge of office management systems and procedures.
  • Intermediate knowledge and experience with basic accounting tasks.
  • Proficiency in Google Workspace, HubSpot, ClickUp, and accounting software.
  • Excellent organizational and time management skills.
  • Strong multitasking abilities.
  • Exceptional verbal and written communication skills.
  • Discretion and confidentiality.
  • Detail-oriented, proactive, and able to work with minimal supervision.
  • Ability to come to the office Monday to Friday, 10:00 am to 6:30 pm, with flexibility for occasional late hours.
