The Facility Manager is responsible for overseeing the maintenance, safety, and efficient operation of the building and its associated infrastructure. This role includes managing all aspects of building services, ensuring that the facilities meet regulatory and environmental standards, and providing a safe and functional environment for employees, tenants, and visitors.

Key Responsibilities:

Building Operations:

  • Ensure cooling, plumbing, electrical, and mechanical systems are properly functioning.
  • Supervise routine building maintenance and repair tasks.
  • Schedule and oversee regular inspections, including HVAC, elevators, fire alarms, and safety systems.

Maintenance & Repairs:

  • Manage and coordinate maintenance schedules, preventive maintenance, and repair work.
  • Handle emergency repairs and liaise with contractors and service providers.
  • Maintain an accurate record of equipment, maintenance schedules, and warranty information.

Vendor Management:

  • Select and manage relationships with vendors and service providers (cleaning, security, waste disposal, etc.).
  • Negotiate contracts and ensure service level agreements (SLAs) are met.
  • Conduct performance reviews of third-party service providers.

Health, Safety & Compliance:

  • Ensure the building complies with local and national safety regulations and environmental standards.
  • Conduct regular safety audits and risk assessments.
  • Implement emergency preparedness plans and manage building security measures.

Space Management & Utilization:

  • Oversee space allocation and manage office layouts and configurations.
  • Work with department heads to optimize the usage of building space.
  • Plan and coordinate moves or changes to the building’s layout.

Budgeting & Financial Management:

  • Develop and manage the facility’s operational budget, including maintenance, utilities, and capital expenditures.
  • Monitor expenses and identify cost-saving opportunities without compromising service quality.

Team Leadership:

  • Supervise and manage maintenance staff, including hiring, training, and evaluating team members.
  • Ensure proper staffing levels and support team development and training programs.
  • Foster a collaborative and efficient work environment.

Landlord/Tenant Relations:

  • Serve as the primary point of contact for the landlord of the building concerning building issues.
  • Respond promptly to landlord requests and complaints.
  • Coordinate with property management/landlord for leasing and related matters.

Requirements:

  • Bachelor's degree in Facilities Management / Civil Engineering / Electrical Engineering / Mechanical Engineering, or an HND in any of the above fields.
  • 5+ years of experience in facilities management or a related role.
  • Strong understanding of building systems (HVAC, electrical, plumbing, etc.).
  • Knowledge of health, safety, and environmental regulations.
  • Excellent leadership, communication, and problem-solving skills.
  • Proficiency in facility management software (e.g., CAFM, CMMS).
  • Budget management experience.
