Junior Operations Executive
Location: On-Site Type: Full-time Reports To: Operations Manager
Role Overview
As a Junior Operations Executive, you’ll play a crucial role in executing and optimizing internal processes, handling administrative tasks, and supporting cross-functional teams. You will be involved in everything from process documentation and workflow improvements to coordinating with different departments to enhance operational efficiency. Additionally, you'll assist in identifying automation opportunities and ensuring seamless collaboration between teams.
Key Responsibilities
Operational Support & Execution
- Assist in executing and optimizing day-to-day operations, ensuring smooth workflows across teams.
- Maintain and update Standard Operating Procedures (SOPs) for various processes.
- Help implement automation tools to improve efficiency in operations.
- Support the operations team in managing SaaS tools and platforms used by different departments.
Data & Reporting
- Track and analyze operational metrics and generate reports for leadership.
- Ensure data accuracy and integrity across internal systems (CRM, ERP, project management tools).
- Assist in monitoring key performance indicators (KPIs) and identifying trends for improvement.
Cross-Functional Collaboration
- Work closely with the HR, Customer Success, and Product teams to support operational needs.
- Assist in onboarding new employees by ensuring they have the necessary tools and resources.
- Help coordinate company-wide initiatives, such as process audits and performance improvements.
Administrative & Process Management
- Manage internal documentation and ensure records are up-to-date.
- Assist in vendor and contract management, tracking renewals and service agreements.
- Support financial operations, including invoice tracking and budget monitoring.
What We’re Looking For
- 1-2 years of experience in Operations, Administration, Finance or a similar role (SaaS or tech startup experience is a plus).
- Strong organizational skills with attention to detail.
- Excellent communication skills in English and Sinhala.
- Ability to work cross-functionally.
- Proficiency in tools like Google Workspace (Docs, Sheets), project management software (Asana, Trello, Notion), and CRM platforms.
- Basic understanding of data analysis and reporting.
- Ability to multitask and work in a fast-paced environment.
- A proactive attitude with a willingness to learn and improve.
