JOB SUMMARY:

In this role, you will provide administrative support while also being responsible for making calls and you will serve as the central point of contact for administrative tasks, coordinating various activities and gathering information vital to our operations. The ideal candidate should be comfortable and confident in making calls, possess excellent communication skills, and have a strong attention to detail.

QUALIFICATIONS:

  • Proven ability to make calls confidently and comfortably, with excellent verbal communication skills and a pleasant, engaging voice.
  • Comfortable and confident in making outbound calls and handling incoming calls in a professional manner.
  • Strong organizational and time management abilities.
  • Exceptional attention to detail, ensuring accuracy and thoroughness in gathering and recording information.
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Strong interpersonal skills and the ability to work effectively in a team environment.
  • Discretion and confidentiality when handling sensitive information.
  • A good command of the English language, including a clear and understandable accent, is highly desirable.
  • Previous experience in customer service or a related role is preferred, showcasing strong customer-oriented skills and the ability to handle various phone conversations effectively.
  • A proactive attitude and a willingness to learn and adapt to new processes and technologies.

RESPONSIBILITIES:

  • Provide general administrative support, including filing, organizing, and making calls.
  • Make outbound calls to gather information, conduct follow-ups, and coordinate with internal and external stakeholders.
  • Maintain accurate and up-to-date records of call logs, correspondence, and other relevant documentation.
  • Assist in data entry, report generation, and record keeping as required.
  • Coordinate and schedule meetings, conferences, and travel arrangements.
  • Collaborate with team members to ensure smooth workflow and effective communication.
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system

WORK SCHEDULE:

  • 9am - 7pm EST, Monday - Friday (9pm - 7am Phil time)
