About the Role

We are seeking a highly organized and proactive Admin Executive to oversee critical administrative functions, including company vehicle management, IT infrastructure coordination, legal/secretarial support, security operations, and supervision of admin assistants. The ideal candidate will demonstrate strong ownership, efficiency, and collaboration skills while ensuring seamless operations across multiple domains.

Key Responsibilities

  1. Company Vehicle Management

Maintain accurate vehicle usage records and submit monthly running reports with analysis by the 3rd working day.

Ensure 100% of vehicle repairs are completed within 5 working days.

Manage timely insurance renewals, ensuring policies are renewed at least 1 week before expiry.

  1. IT Infrastructure & Services Oversight

Coordinate with IT vendors, ensuring 100% SLA compliance tracked monthly.

Provide ERP and application support, resolving 95% of tickets within 2 working days.

Monitor IT security, submitting quarterly compliance checklists.

Maintain 100% uptime for core systems (ERP, CCTV, PABX, Web Hosting, Wi-Fi).

Conduct monthly performance checks for critical IT infrastructure.

  1. Legal & Secretarial Support

Process new registrations/document filings within 10 working days.

Prepare and submit board meeting packs and minutes within 2 working days post-meeting.

  1. Security Operations Supervision

Oversee guard deployment and submit weekly compliance checklists.

Conduct bi-monthly security audits and submit reports.

  1. Admin Assistant Supervision

Review and approve stationery/utility bill work, ensuring monthly sign-off by the 5th working day.

Qualifications & Experience

Bachelor’s degree in Business Administration or related field.

3+ years in administration, IT coordination, or facilities management.

Proficiency in ERP systems, vendor management, and documentation.
