Job Role
The Administration Specialist will play a critical role in setting up and managing Optimiza’s physical office in Mexico City. This includes leading site selection, coordinating renovation projects, managing daily operations, and supporting cross-team needs. The ideal candidate is local, highly organized, and confident in working with vendors and internal stakeholders alike.
Key Responsibilities
- Office Operations:
- Manage daily administrative tasks, facilities, supplies, and vendor
- coordination.
- Ensure office functionality and address maintenance issues.
- Reception & Client reception:
- Greet visitors, manage meeting room bookings, and coordinate client
- meetings.
- Arrange travel, accommodations, and local logistics.
- Vendor Management:
- Liaise with local suppliers (catering, cleaning, IT, etc.) and negotiate
- contracts.
- Cross-Team Support:
- Assist teams with administrative needs, documentation, and reporting.
- Maintain organized records and databases.
- Communication:
- Provide clear updates on tasks and issues to stakeholders.
Candidate Requirements
- Nationality: Mexican
- Education: Minimum Bachelor's Degree in any major.
- Experience:
- Minimum 3 years in administrative or operational support roles
- Experience supporting international teams
- Experience with Chinese-funded companies
- Familiarity with vendor sourcing and office setup processes
- Language:
- Native Spanish
- Working proficiency in English
- Mandarin Chinese is a strong advantage

- Strong coordination, planning, and stakeholder communication
- Confident in vendor negotiation and project follow-up
- Highly organized, proactive, and able to work independently
