Event Sponsorship & Operations Coordinator (Contact Basis)

Work Mode: Hybrid (Remote + On-site when required by management) Age Range: 18 – 27 years Suitable For: Fresh Graduates or Undergraduates (Event Management, Business, Marketing, or related fields)

Role Overview

We are seeking a dynamic and motivated Sponsorship & Operations Coordinator to support our growing event business. This role is designed to give young professionals hands on experience in both business development (sponsorships) and event execution (operations).

You will work closely with the core team, sponsors, and vendors to ensure that all sponsor commitments are secured, delivered, and showcased seamlessly during events. While the role is hybrid, candidates must be available to attend on-site meetings, rehearsals, or events whenever requested by management.

Responsibilities

Sponsorship Coordination

· Research and approach potential sponsors, partners, and collaborators.

· Assist in preparing and presenting sponsorship proposals.

· Maintain communication with sponsors and ensure all commitments are documented.

· Contribute to post event sponsorship reports (photos, exposure metrics, and ROI).

Operations Coordination

· Support planning and execution of event logistics (venue setup, equipment, schedules).

· Coordinate with vendors and suppliers (print, sound, lighting, etc.).

· Ensure sponsor deliverables are executed on site (banners, booths, VIP access, branding).

· Assist with backstage, guest management, and on the day event flow.

Combined Role Duties

· Act as the bridge between sponsors and operations teams.

· Monitor sponsor requirements and align them with event logistics.

· Gather data and feedback for both sponsor and operational improvements.

Working Hours

  • Regular: Monday to Friday (standard working hours).
  • Pre-Event Intensive: In the last two months before the event, candidates must be prepared to work 7 days a week, when necessary (including evenings and weekends), depending on the demands of event preparation. Outside of this period, weekends are generally off unless specifically required.

Requirements

  • Age 18–27 (Fresh graduates or undergraduates encouraged).
  • Strong communication and organizational skills.
  • Interest in event management, marketing, or business development.
  • Ability to multitask and work under pressure during events.
  • Flexible availability to attend on-site duties when management calls.
  • Preferred / Plus:
    • Experience in telemarketing or sales.
    • Proven ability to achieve targets, pitch to suppliers, and negotiate with vendors.
