Purpose: To engage a technical resource (internal or freelance) to complete advanced configuration and integrations within Pipedrive related to inventory/stock management, commissions tracking, and lead source integration.
1. Background & Context
The client’s Pipedrive CRM is now functionally set up with foundational pipelines and initial automations. The next phase requires configuring and integrating key operational components that ensure Pipedrive can serve as the single source of truth for:
- Managing live inventory and stock (lots and projects).
- Tracking and reporting on sales commissions.
- Integrating lead sources to streamline inbound lead flow and routing.
The technical implementation should be practical, scalable, and compatible with potential future integrations (e.g., Monday.com, Zapier, or Make.com) to expand functionality.
2. Objectives
- Establish live inventory visibility within Pipedrive to track projects, stages, and lots (available, sold, on hold, reserved).
- Enable commission tracking and reporting based on deal ownership, project, and value.
- Integrate and automate lead capture from all marketing channels into Pipedrive with intelligent routing based on project or location.
3. Scope of Work
A. Inventory / Stock Management
Goal: Create a live, interactive inventory system within Pipedrive that mirrors the client’s Excel master stock sheet. Requirements:
- Design a custom data model:
- Projects → contain Stages → contain Products (Lots).
- Each lot should include fields such as:
- Project Name
- Stage
- Lot Number
- Lot Size
- Land Price
- Status (Available / On Hold / Reserved / Sold)
- Assigned Deal / Buyer (if applicable)
- Configure custom fields and relationships within Pipedrive (using Products and/or Projects modules).
- Implement a status change logic:
- If a lot is allocated to a deal, status auto-changes to On Hold or Sold.
- If a deal is lost or cancelled, lot returns to Available.
- Explore options for color-coded visual cues (if natively possible or via a UI extension).
- Test data import workflow from Excel to ensure consistent field mapping.
- If Pipedrive proves insufficient for live stock management:
- Define integration pathway to Monday.com (or alternative tool) for visual stock tracking.
- Sync project and lot status between systems using Zapier/Make API automation.
B. Commissions Tracking
Goal: Enable automated calculation and reporting of sales commissions based on completed deals. Requirements:
- Create custom commission fields within the deal record:
- Deal Value (base)
- Commission Rate (%)
- Calculated Commission (auto field)
- Assigned Consultant / Salesperson
- Ensure commission fields populate automatically based on deal ownership and stage completion (e.g., Deal Won).
- Design dashboard or report to show:
- Total commission per consultant per month
- Deals contributing to commission
- Pipeline summary (Won, Lost, In Progress)
- Note: Pipedrive does not process payments; this feature is for tracking and reporting only.
C. Lead Source Integration
Goal: Centralize and automate all lead inflow from multiple sources (e.g., website forms, property portals, ads) into Pipedrive. Requirements:
- Map and consolidate existing web forms into a single master form structure with standardized fields (e.g., Name, Email, Phone, Project, Product Interest).
- Configure automatic lead routing:
- Route based on Project/Location keywords (e.g., “Samara,” “Thornhill Park”).
- Assign incoming leads to the relevant sales team or agent.
- Ensure leads land in the “Non-Contacted” stage with the correct seven-step automation triggered.
- Integrate via:
- Zapier / Make.com, or
- Direct API integration (depending on platform).
- Test for duplicates, data consistency, and field mapping accuracy.
- Optional: Set up lead source tracking (Google Ads, Facebook, Portal, Website) for performance insights.
4. Deliverables
- Configured Pipedrive environment with:
- Custom inventory structure and working stock status logic.
- Commission tracking fields and reporting dashboard.
- Automated lead source integration and routing.
- Technical documentation outlining:
- Field schema and naming conventions.
- Automation and workflow logic.
- Integration setup (including API/Zapier routes).
- Testing & Handover:
- Demo session with client team.
- Step-by-step guide for ongoing management and updates.
5. Skills & Experience Required
- Advanced experience with Pipedrive custom configuration.
- Familiarity with Zapier, Make.com, or Pipedrive API for integrations.
- Knowledge of Monday.com API (bonus).
- Experience in CRM data architecture (custom fields, relationships, automation).
- Understanding of sales process automation and commission frameworks.
6. Estimated Duration
- Phase 1 (Inventory & Commission Setup): 2–3 weeks
- Phase 2 (Lead Integration & Routing): 1–2 weeks
- Testing & Documentation: 3–5 days
