Role Summary
The Sales Coordinator supports and drives all sales activities for Shirohana’s online platform and events division. This role ensures smooth coordination between customers, florists, shop teams, and the central operations units, while maintaining Shirohana’s service standards. The coordinator will handle inquiries, process orders, support event project management, and ensure timely communication and execution across all functions.
Key Responsibilities
Online Sales
- Manage daily online orders, ensuring accuracy, timely processing, and coordination with the e-commerce facility.
- Communicate with customers via call, WhatsApp, and email to clarify orders, customization requests, and delivery details.
- Track order progress with florists, logistics, and shop teams; ensure on-time delivery and quality control.
- Monitor stock availability for online listings and coordinate with Purchasing/Inventory teams for updates.
- Assist with uploading products, promotions, and seasonal online campaigns.
Events Sales & Coordination
- Respond to wedding and event inquiries, prepare quotations, and follow up to increase conversions.
- Coordinate with the Events Manager and florists to finalize designs, budgets, and timelines.
- Support onsite event coordination when required, including setup and customer communication.
- Maintain a database of recurring corporate clients, event inquiries, and follow-ups.
- Prepare after-event reports and feedback summaries.
Customer Relationship Management
- Provide a high level of customer service; troubleshoot issues and escalate when needed.
- Build and maintain strong relationships with repeat online and event clients.
- Gather customer insights and relay suggestions for improving products or processes.
Sales Reporting & Admin
- Prepare weekly and monthly sales reports for online and events.
- Track lead conversions, customer interactions, and event pipeline.
- Maintain updated documentation, SOPs, and sales records.
Skills & Competencies
- Strong communication skills (written & verbal).
- Customer-centric mindset with problem-solving ability.
- Highly organized; able to multitask across fast-moving orders and event timelines.
- Good understanding of sales processes and basic financials.
- Familiarity with spreadsheets, CRM tools, and e-commerce platforms (training provided).
- Ability to work under pressure and coordinate with cross-functional teams.
Qualifications
- Experience in sales coordination, customer service, hospitality, or related fields.
- Experience in floristry, events, or e-commerce is an added advantage.
- Good command of English; Sinhala proficiency preferred.
Salary Range starting 80,000 to 100,000+ depending on experience
