Role Summary

The Stock & Purchasing Coordinator is responsible for monitoring inventory levels across all Shirohana shops, e-commerce, and events, ensuring timely replenishment of flowers, foliage, vases, packaging, and consumables. The role ensures accurate documentation, minimizes wastage, and maintains smooth operations through proactive stock planning and coordination with suppliers, the central e-commerce facility, and the farm.

Key Responsibilities

1. Inventory Tracking

  • Monitor daily stock levels across all shops, e-commerce operations, and events.
  • Track usage of flowers, foliage, wrapping materials, vases, and accessories.
  • Maintain accurate digital and physical stock records.
  • Monitor expiry and freshness timelines for flowers to reduce wastage.

2. Ordering & Replenishment

  • Prepare daily and weekly order lists for each shop.
  • Coordinate with the Purchasing Manager and farm team for flower and foliage deliveries.
  • Order non-floral items (wrapping, ribbons, bags, vases, candles, cards, tools, etc.).
  • Ensure urgent requirements for events or last-minute orders are managed efficiently.

3. Stock Distribution

  • Plan and coordinate deliveries from the central facility to shops.
  • Ensure stock is packed, labelled, and dispatched accurately and on time.
  • Track vehicle movement and ensure proper route planning for stock distribution.

4. Quality Control

  • Check incoming stock for quality—flower condition, packaging quality, and accuracy.
  • Flag defects, shortages, or poor-quality items immediately to the Purchasing Manager.
  • Monitor shop storage conditions (water, temperature, cleanliness) to maintain freshness.

5. Documentation & Reporting

  • Maintain updated stock logs, issue records, and consumption reports for each shop.
  • Prepare weekly wastage reports and highlight patterns to reduce losses.
  • Support monthly stocktakes and variance reporting.
  • Update cost sheets and coordinate with finance on stock-related documentation.

6. Coordination With Teams

  • Work closely with shop managers, senior florists, events coordinators, and e-commerce.
  • Communicate stock availability for online listings and ensure sold-out items are updated quickly.
  • Support event teams with advance stock planning for weddings and corporate events.

Skills & Competencies

  • Strong organisational and record-keeping skills.
  • Detail-oriented and reliable.
  • Basic knowledge of Excel/Sheets (training provided if needed).
  • Ability to manage multiple shops and priorities.
  • Good communication skills across teams.
  • Ability to work under pressure during peak seasons.

Qualifications

  • 1–3 years experience in inventory management, purchasing, retail operations, or logistics.
  • Experience in floristry, hospitality, or FMCG is an added advantage.
  • Good command of English and Sinhala
