The Goods Inwards Advise (GIA) Clerk is responsible for supporting branch operations by accurately recording, processing, and reporting goods inwards, inventory adjustments, and stock‑related documentation. The role ensures compliance with stock control procedures and supports audit accuracy and operational integrity at the Mt Hagen branch.
Key Responsibilities:
- Accurately process Goods Inwards Advice (GIA) documentation for all incoming stock, ensuring quantities and descriptions match supplier delivery notes and invoices.
- Record stock receipts, transfers, and adjustments accurately in the inventory system in a timely manner.
- Identify, escalate, and assist in resolving discrepancies relating to stock deliveries, shortages, overages, or damages.
- Maintain proper filing and control of GIA documents and supporting paperwork for audit and compliance purposes.
- Liaise with suppliers, Warehouse staff, and Branch Management on stock receipt issues as required.
- Support stock counts and audits by preparing documentation and assisting with reconciliations.
- Ensure compliance with company inventory, goods receipting, and internal control procedures.
- Provide daily, weekly, or monthly stock‑related reports as required by Management.
- Maintain a high level of accuracy, integrity, and confidentiality when handling stock data and documents.
- Undertake any other related duties assigned to support inventory and branch operations.
- Retail, warehouse, or hardware industry experience will be an added advantage.
- Perform any other stock handling‑related duties assigned by Inventory team or Management to support branch operations.
- Ensure accurate goods receipting and documentation controls are maintained to support cost control, inventory integrity, and the achievement of branch financial targets.
Qualifications/Experience:
- Certificate or Diploma in Business Administration, Accounting, Logistics, or a related field (preferred).
- At least 1-2 years' experience in a clerical, inventory, or goods receiving role.
- Experience handling Goods Inwards, delivery documents, and inventory records is an advantage.
- Retail, warehouse, or hardware industry experience will be an added advantage.
- Candidate must be Mount Hagen Based.
General Skills:
- High level of accuracy and attention to details when processing stock documentation.
- Basic understanding of goodd receipting and inventory controll procedures.
- Good record‑keeping, filing, and documentation skills.
- Ability to identify discrepencies and escalate issues appropriately.
- Strong organisational and administrative skills.
- Basic computer literacy, including microsoft Word and excel or ERP, Pronto Xi is a plus.
- Good communication and interpersonal skills.
- Ability to work as part of a team and follow standard operating procedures.
- Honest, dependable, and able to handle information confidentially.
- Willingness to learn and adapt in a fast‑paced retail environment.
- Ability to work under pressure and meet operational deadlines.
