About the Role

We are looking for a driven and strategic Senior Executive - Events & Projects to take charge of our event delivery function for Medics.Academy and The HLA. This position moves beyond event execution to include strategic planning, process ownership, team leadership, budgeting oversight, and long-term development of the events function. The ideal candidate will ensure that events are delivered efficiently, consistently, and at high quality, while building scalable systems, supporting team capability, and aligning event activity with organisational strategy.

Key Responsibilities

Leadership and team management

  • Lead and coordinate the Events & Projects function, providing clear direction, priorities, and support to team members.
  • Allocate work, oversee timelines, and act as the first point of escalation for events-related issues and decision-making.
  • Support onboarding, training, and development of junior staff.
  • Foster a collaborative, positive, and high-performance team culture.

Strategic Planning & Process Ownership

  • Lead long-term planning for events and projects, including annual calendars and capacity planning.
  • Design, document, and continuously improve event workflows, templates, and systems to increase efficiency, consistency, and quality.
  • Strategically align the events function to achieve the overarching company revenue goals.

Event & Project Oversight

  • Oversee end-to-end delivery of virtual, in-person, and hybrid events.
  • Ensure event timelines, logistics, communications, and stakeholder coordination are effectively managed.
  • Ensure post-event evaluation, reporting, and learning are embedded into future planning.

Budgeting, Costing & Reporting

  • Support budgeting and costing for events and projects by working closely with Finance.
  • Monitor costs, track variances, and contribute to financial analysis and reporting.
  • Evaluate, recommend and implement cost-saving initiatives within the events and project management functions.

Cross-Department & External Collaboration

  • Work closely with Marketing, Products, Finance, Operations, and CST teams to deliver aligned events.
  • Liaise with external stakeholders, including speakers, partners, vendors, and collaborators.
  • Maintain and update the overall HLA and Medics.Academy website, including the events page.

Experience & Qualifications

Essential Criteria:

  • Experience: Proven track record in end-to-end event management, successfully delivering virtual, in-person, and hybrid events.
  • Financial Acumen: Strong experience in budget management, cost tracking, and implementing cost-saving initiatives.
  • Project Management: Ability to maintain oversight of multiple concurrent projects while ensuring alignment with key deliverables.

Desirable Criteria:

  • Education: A degree or formal qualification in Event Management, Marketing, Business Administration, or a related field.
  • Industry Knowledge: Familiarity with the medical, healthcare, or EdTech sectors.

  • Strong written and verbal communication skills for liaising with high-level external stakeholders and cross-functional internal teams.
  • A data-driven mindset with the ability to analyze event metrics and translate them into actionable departmental improvements.
