Primary Objective
To provide strategic leadership and direction for all administrative functions, ensuring operational efficiency, effective coordination of resources, and the maintenance of a productive and compliant work environment.
Key Responsibilities:
- Lead and manage the day-to-day administrative operations of the organization.
- Develop, implement, and monitor administrative policies, procedures, and systems.
- Oversee office facilities, assets, and resource management to ensure operational efficiency.
- Manage administrative budgets and monitor expenditure to achieve cost-effective outcomes.
- Supervise, mentor, and develop administrative staff to ensure high performance and productivity.
- Ensure compliance with company policies, legislative requirements, and governance standards.
- Coordinate procurement activities and manage relationships with vendors and service providers.
- Prepare and present administrative reports, budgets, and operational updates to management.
- Support business planning initiatives and drive continuous improvement across administrative functions.
- Oversee records management and ensure the confidentiality and security of company information.
- Foster effective communication and collaboration across departments and stakeholders.
- Identify and resolve administrative issues, ensuring timely and effective solutions.
- Lead special projects and perform other duties as required to support organizational objectives.
Qualifications and Experience:
- Bachelor's Degree or Diploma in Business Administration, Management, Human Resources, Commerce, or a related discipline.
- Minimum of 5 years' experience in administration, office management, or a similar role, including at least 2 years in a leadership or supervisory capacity.
- Proven experience managing office operations, administrative systems, and support services.
- Demonstrated experience in budget preparation, resource management, and cost control.
- Strong understanding of policy development, compliance, and corporate governance practices.
- Experience in procurement, contract administration, and vendor management is desirable.
- Proven ability to lead, motivate, and develop teams to achieve organizational objectives.
- Strong report writing, analytical, and problem-solving skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent communication, stakeholder management, and organizational skills.
- Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
